How to transcribe an interview with HappyScribe?

Step 1

Connect your calendar

Sign up for free and connect your Google or Outlook calendar in under two minutes. HappyScribe then joins every scheduled interview on its own, or you can upload a file for ad-hoc sessions and field recordings.

Step 2

HappyScribe records the call

HappyScribe joins your Zoom, Teams, or Google Meet as a participant and captures both audio and video. One-on-one, panel, and group interviews all work the same way, and every voice is captured cleanly even when people speak over each other.

Step 3

Your interview transcript, ready in minutes

A verbatim transcript lands in your inbox moments after the interview ends. Interviewer and interviewee are labeled on every turn, with timestamps on every paragraph. Export to DOCX, SRT, VTT, PDF, or TXT, or pipe straight to Dovetail, Notion, or Google Drive through Zapier.

Do more with every interview.

Verbatim or cleaned-up output

Keep every filler and false start for qualitative coding, or toggle to a cleaned-up transcript for quoting in an article. Same source file, two views, no re-upload.

Speaker attribution

Interviewer and interviewee labeled automatically. Rename speakers before export so your transcript reads "Dr. Patel" or "P04" and the labels carry through to SRT and VTT.

Chat with an interview

Ask a question about any past recording and get an answer with the exact timestamp. No more scrubbing through a 90-minute session to find the one quote you need.

Chat across interviews

Search across every interview you have ever recorded. Pull direct quotes with source and timestamp, and turn a folder of 40 recordings into a searchable corpus.

Create from interviews

Turn any interview into a research memo, blog draft, pull-quote reel, or shareable brief in one click. Podcasters can pull 3-5 social clips with captions in minutes.

Interview recording

Every session stored with audio and video. Revisit the source when a quote needs context, a translation needs checking, or a respondent asks for a passage to be removed.

Integrations

Pipe transcripts straight to Dovetail, Notion, Google Drive, Airtable, or Slack through Zapier, MCP server, or API. No manual export, no drag-and-drop.

Export for any workflow

DOCX for Word and legal review. SRT and VTT for podcast subtitles. TXT for NVivo, Atlas.ti, and MAXQDA. PDF for client deliverables. Speaker labels and timestamps survive every export.

The AI Notetaker is a real game-changer for us. There's no need to write everything during meetings anymore; now I can actually engage.

The service is excellent. I just don't like the way it is presented, it says free but finally, once you have started with it, it is paying... but it's worth it and not that expensive.

Every question you're about to Google.

What is interview transcription?

Interview transcription converts a recorded interview into a written record with each speaker labeled. HappyScribe does this automatically for one-on-one, panel, and multi-respondent sessions recorded on Zoom, Teams, Google Meet, or uploaded as a file. Output is ready in roughly 15% of the audio length, so a 60-minute interview becomes a full transcript in about 9 minutes.

Can HappyScribe produce verbatim transcripts for qualitative research?

Yes. Toggle verbatim mode to keep every filler, repetition, and pause for discourse analysis or coding. Toggle cleaned-up mode to strip them out for publication. Both versions come from the same audio file, so you never re-upload, and speaker labels and timestamps are preserved across formats.

How does HappyScribe handle interviewer vs interviewee labeling?

Speakers are detected automatically and labeled Speaker 1, Speaker 2, and so on. Rename them before export, for example "Moderator" and "P04," so your transcript lands in NVivo or Dovetail already coded. Renamed labels carry through to SRT and VTT exports, and panel interviews with 3 or 4 voices stay consistent across the full session.

Can I transcribe an existing interview recording?

Yes. Upload an MP3, MP4, WAV, M4A, MOV, or any common audio or video file. You get the same verbatim transcript, speaker labels, and export options as a live-recorded session. Files up to 8 hours are supported per upload — dictaphone field recordings, old podcast archives, and conference-room mic audio all work.

How accurate is HappyScribe for interview audio?

95%+ on clear audio across 150+ languages, including heavy accents and mixed-language sessions. For sensitive or legal work, a human-perfected transcript option is available with 99%+ accuracy and typical turnaround in 24 hours. Noisy field recordings and overlapping panel voices lose a few points of accuracy but remain fully readable.

Is there a free plan?

Yes. HappyScribe offers a free plan with unlimited meeting recordings. No credit card required.

How accurate is the transcription?

95%+ across all supported languages.

What languages are supported?

150+ languages and dialects, with automatic language detection.

Can I use HappyScribe without a bot joining the meeting?

Yes. HappyScribe offers a bot-free browser recorder that captures audio from your device.

Where is my meeting data stored?

All data is stored in an EU-based data center that is PCI DSS and ISO 27001-compliant.
